How do I use the Zoom Rooms?

Important note: Please do not attempt to plug any device into the room's monitor to share your screen. The Zoom Room technology can only be used for Zoom and unplugging or tampering with the equipment can lead to major operating issues. How do I reserve and get into the Zoom Room?

Reserve it just like a study room by going to the Book a Study Room page and selecting Book a Study Room in the Holland and Terrell Libraries. The Zoom Rooms are listed as Zoom Room 113 - 1st Floor and Zoom Room 1C - Ground Floor. Scan your WSU ID to unlock the door.

Do I need to log in or use a laptop/phone?

No, all Zoom functions are run through the tablet control panel on the desk and the room has its own Zoom account and meeting ID.

How do I start a new meeting?

To start a new meeting, click 'New Meeting' on the control panel.

How do I join an existing meeting?

Click the 'Join' button on the control panel. From there, you can find a meeting by entering the meeting ID and password.

How do I invite someone to join a meeting?

Invitations can be sent by searching for a contact through the WSU directory or by entering an email manually. If the person does not have a WSU email address, you will need to enter their email manually.

How do I change the view and layout of the screen?

On the control panel, select the 'View' button. You will have several options to edit the layout on the screen, including speaker or gallery view and a thumbnail feature, which allows you to pin one or more people's videos. The 'Camera Control' allows you to move your camera by zooming in and out and also has manual or auto-focus.

How do I share my screen?

You will need to obtain a share key or passcode from the tablet control panel, which you will then use to connect your personal device to the meeting to share your screen. Select the 'Share Content' button on the control panel and choose either 'Desktop' or 'iPhone/iPad' depending on where you will be sharing from. Follow the directions on the screen depending on the device you plan on sharing from.

How can I record the meeting and access that recording once the meeting is over?

Meetings can be recorded to the Zoom server and sent to your email after the meeting is over. Select 'Record' from the control panel and enter your email when prompted.

How do I prevent hearing an echo?

Keeping your mic muted when you are not speaking can prevent unwanted sounds and echoing during your meeting.

Can I use headphones?

Bluetooth/wireless headphones can be used during your meeting.
